Invoice Branding & Customization

Design invoices that reflect your business identity and leave a professional impression on every client.

Adding a logo to your invoices is the fastest way to establish credibility. BizBooks Pro places your logo in the header area of every invoice, estimate, and receipt you generate.

  1. Navigate to Settings and open Invoice Branding
  2. Click the Upload Logo button
  3. Select an image file (PNG, JPG, or SVG accepted)
  4. The preview updates immediately so you can verify placement
Tip: Use a logo with a transparent background for the cleanest appearance. BizBooks Pro automatically scales the image to fit the invoice header without distortion.

Setting Brand Colors

Your invoices should match the rest of your business materials. BizBooks Pro provides two color settings that apply across headers, borders, totals, and accent elements on your documents.

Enter a hex code directly (e.g., #2563eb) or use the built-in color picker to select your preferred shade visually.

Choosing an Invoice Template

BizBooks Pro includes four professionally designed layouts. Each arranges the same billing information in a distinct visual style, so you can pick the one that best suits your industry and audience.

To switch templates, go to Settings → Invoice Branding and click on the layout you prefer. A live preview shows the result before you save.

Controlling Detail Visibility

Not every invoice needs to display your full company profile. BizBooks Pro allows you to toggle individual fields so only relevant information appears on the printed document.

Each toggle takes effect immediately on all future invoices. Previously generated PDFs remain unchanged.

Custom Text Fields

The messaging on your invoices communicates expectations and builds rapport. BizBooks Pro gives you dedicated fields to personalize the text that appears at the bottom of every document.

Payment Instructions

Tell your clients exactly how to pay. Include bank transfer details, accepted payment methods, or a link to your online payment portal.

Terms & Conditions

Define your standard payment terms (Net 15, Net 30, Net 60), late fee policies, and any service-specific conditions. This text prints on every invoice you create.

Thank-You Message

End each invoice with a personal touch. A short thank-you note, your company motto, or a seasonal greeting adds warmth to a financial document.

Footer Notes

Use the footer for legal disclaimers, refund policies, or regulatory notices that your industry requires on billing documents.

Per-Company Branding

If you operate multiple businesses within BizBooks Pro, each company maintains its own independent branding configuration. Logo, colors, template selection, visibility toggles, and custom text are all scoped to the active company. Switching companies loads that company's branding settings automatically.

Tip: Configure your branding once and it applies to every invoice, estimate, and receipt going forward. Update the settings at any time and the changes take effect on all new documents immediately.
