Client Portal
Give your accounting firm's clients a branded, self-service portal to access their financials, exchange documents, and communicate with your team directly from their browser.
Getting Started
The BizBooks Pro Client Portal serves two distinct use cases:
- Accounting practices: Host client books in your installation and provide each client with a branded portal for viewing reports, submitting documents, and paying invoices — without requiring them to purchase separate software
- Business owners: Let your own customers check invoice status, make payments, and download statements without contacting your office
Portal users operate under read-only access. They can view financial data and upload documents but cannot create, modify, or delete any accounting records.
Activating the Portal
Portal configuration is managed on a per-company basis. To turn it on:
- Open the company whose books you want to expose through the portal
- Navigate to Accountant Tools → Client Portal Settings
- Switch Enable Client Portal to the on position
- Select which capabilities to make available:
- Financial statements (Income Statement and Balance Sheet)
- Document exchange (uploads and requests)
- Client messaging
- Subscription upgrade invitation
- Press Save Settings
Repeat for each client company you want to give portal access.
Firm Branding Setup
Transform the portal into an extension of your practice's identity:
- Firm Name: Shown in the portal header and on the login screen
- Logo: Upload a PNG or SVG file (200 × 60 pixels recommended)
- Color Palette: Choose primary and accent colors that align with your brand
- Welcome Message: Custom greeting displayed on the portal dashboard
- Tagline: Short descriptor that appears beneath your firm name at login
Sending Client Invitations
Clients join the portal through a secure invitation workflow:
- Switch to the client's company within BizBooks Pro
- Open Accountant Tools → Client Portal → Invite Client
- Type the client's email address
- Click Send Invitation
- Your client receives an email containing a secure registration link
Each invitation is valid for 30 days. You can resend expired invitations or revoke active ones from the portal management panel at any time.
The Client View
After registering, clients log into a streamlined dashboard scoped to their company:
- Financial Summary: Cash balance, revenue snapshot, and key performance indicators
- Income Statement: Profit and loss for any selected date range
- Balance Sheet: Current assets, liabilities, and equity at a glance
- Open Invoices: Outstanding balances with an option to pay online
- Payment History: Full record of every payment made through the portal
- Online Payment: Clients settle invoices via credit card, processed through Stripe
Clients see only the data you have enabled in the portal settings. Financial data is strictly read-only.
Document Management
Creating Document Requests
- Switch to the client's company
- Go to Accountant Tools → Client Portal → Document Requests
- Click New Request
- Fill in the request title (e.g., "January bank statements"), description, document category, and an optional deadline
- Press Send Request
The request appears immediately on the client's portal dashboard. They can upload files directly in response.
Client-Initiated Uploads
Clients can also upload documents on their own initiative — receipts, vendor contracts, signed agreements — without waiting for a formal request. All uploads are organized by category and available to your team instantly.
Client Communication
The portal's messaging feature replaces scattered email threads with organized, searchable conversations:
- Threaded discussions keep each topic contained and easy to follow
- Clients see a notification when you send a new message
- An unread count badge on the portal sidebar keeps clients aware of pending messages
- Every exchange is stored with the client's financial records for audit purposes
- File attachments can accompany any message
Email Notifications
BizBooks Pro sends branded email notifications to portal clients automatically when key events occur:
- Invitation emails: When you invite a client, they receive a branded email with a secure link to create their portal account
- New message alerts: When you send a message through the portal, the client gets an email with a preview and a link to view the full conversation
- Document shared alerts: When you upload a document to a client's portal, they receive an email notification with the document name
All notification emails carry your firm's branding (name, colors) so they look like they came from your practice, not from BizBooks Pro.
Portal Analytics & Engagement Tracking
The Activity tab inside Firm Client Portal gives you a real-time view of how clients are using the portal:
- Analytics dashboard: Summary cards showing total portal logins, documents uploaded, messages exchanged, and invoice payments across all clients
- Per-client engagement: See each client's last login date, number of logins, documents uploaded, and messages sent
- Activity log: A chronological feed of every portal action — logins, report views, document uploads, invoice payments, and messages — with timestamps and IP addresses
- Identify disengaged clients: Spot clients who haven't logged in recently and may need a proactive check-in call
Use this data to demonstrate value to clients during review meetings and to identify opportunities for deeper advisory engagements.
The Upgrade Funnel
For firms enrolled in the BizBooks Pro Partner Program, the portal doubles as a sales channel:
- Turn on Show Upgrade Invitation in portal settings
- Enter your firm's partner referral code
- Optionally customize the upgrade message
- Clients see a subtle "Get Full Access" prompt in the portal sidebar
When a client clicks through and purchases their own BizBooks Pro subscription, your referral code is attached to the transaction. Your firm earns a recurring commission for the life of that subscription.
Administration
Revoking Portal Access
Navigate to Accountant Tools → Client Portal → Manage Users. Click Revoke beside the client's entry. Their session ends immediately and they can no longer log in.
Activity Monitoring
The management screen displays each client's last login, pages viewed, and documents uploaded. Use this to identify disengaged clients who may need a follow-up call.
Client Data Export
If a client relationship ends, export their complete dataset — chart of accounts, transaction history, and reports — as a portable package. This allows for a professional handoff regardless of what software the client moves to next.
How This Compares to QBOA
QuickBooks Online Accountant is free to your firm, but it requires every client to hold an active QBO subscription of their own. BizBooks Pro includes client portal access with your Accountant Firm plan at no additional per-client cost, so your clients hold no subscription at all.
- Cost to your firm: QBOA = $0, or roughly $58,800 a year for 50 QuickBooks Online Plus files if your firm holds the billing under ProAdvisor Preferred Pricing. BizBooks Pro Accountant Firm = $2,880 flat.
- Cost to your clients: QBOA = $84,000 a year across 50 Plus subscriptions at list. BizBooks Pro Accountant Firm = nothing; their books live in your installation.
- Client-facing branding: QBOA = QuickBooks everywhere. BizBooks Pro = your firm's name and logo.
- Practice tools: QBOA = requires third-party subscriptions (Karbon, Canopy). BizBooks Pro = tasks, time tracking, and workpapers built in.
