1099 Center: 1099-NEC Preparation and E-Filing

Track what you paid each contractor, confirm who needs a form, prepare 1099-NECs from your own records, and e-file them through TaxBandits.

How It Works

Open Reports → 1099 Center and choose a Tax Year at the top. The center has four tabs: Dashboard, Vendor Setup, Generated Forms and Payer Settings.

For each vendor marked 1099-eligible, BizBooks Pro adds up the year's payments from two sources:

The Dashboard shows how many vendors are above the threshold, how many are missing a W-9, how many forms have been generated against those that need one, and a row per vendor with total paid, TIN status, W-9 status and form status.

The Reporting Threshold

The threshold depends on the tax year you have selected, and BizBooks Pro applies the right one automatically:

Tax year1099-NEC threshold
2025 and earlier$600
2026 onward$2,000

Vendors under the threshold are still listed, marked "below" the threshold, so you can see who is close.

Vendor Setup

The Vendor Setup tab lists your vendors with their year-to-date payments. For each contractor:

  1. Tick 1099 Eligible
  2. Choose the TIN Type and enter the TIN / SSN / EIN
  3. Tick W-9 Received once you have the form on file
  4. Click Save on that row
Collect W-9s early: the Dashboard's "Missing W-9" count is the list to work through before January. A form can only be generated once a TIN is on file.

One Contractor, Two Records

Imported books sometimes hold the same contractor twice. The IRS treats one tax ID as one person, so two records would either produce two forms, or split the year so that neither half reaches the threshold.

When two eligible records share a tax ID, the Dashboard says so. In Vendor Setup, set Same person as on the extra record to point at the main one. Payments then total onto a single form. Nothing is moved or deleted.

Payer Settings

Enter your details once; they print on every form as the payer:

Click Save Payer Settings.

Generating Forms

Box 1, nonemployee compensation, is the vendor's total paid for the year. Generated forms are listed on the Generated Forms tab with the vendor, masked TIN, Box 1 amount, status and IRS status. If payments change after you generate, generate again to refresh the amount.

Printing Copy B

On Generated Forms, click Print beside a form to print the recipient's Copy B, laid out with payer and recipient details and Box 1. Both TINs are masked on the printed copy.

E-Filing With TaxBandits

TaxBandits is an IRS-authorized e-file provider. BizBooks Pro connects to it using your own API credentials.

Connecting

  1. In Payer Settings, under TaxBandits E-File Integration, choose the environment: Sandbox (Test) to try it out, or Production (Live) to file for real
  2. Enter the Client ID, Client Secret and User Token from your TaxBandits account's API credentials
  3. Save, then click Test Connection
  4. Click Register Business with TaxBandits to create your payer record there

Filing

  1. On Generated Forms, click Submit All to TaxBandits
  2. Review, then Transmit to IRS; the transmission goes through the IRS IRIS system
  3. Use Refresh to update each form's IRS status: created, transmitted, accepted or rejected

IRIS usually returns a status within about six hours. Once a form is filed, the Filed button retrieves the filed copy from TaxBandits as a PDF.

Test first: run a filing in Sandbox mode before switching to production. Sandbox submissions are never sent to the IRS.

FAQ

Which forms does the center produce?

Form 1099-NEC, for nonemployee compensation.

Do I need TaxBandits to use the 1099 Center?

No. Tracking, generation and printing work without it. TaxBandits is needed only to e-file.

A contractor shows less than I paid them. Why?

Check that the payments are dated in the selected tax year and recorded against that vendor. If the contractor exists under two vendor records, link them with Same person as.

Can I look at a previous year?

Yes. Change the Tax Year selector; the dashboard, forms and threshold all follow it.
