Tax Center & TXF Export
Prepare tax-ready financial documents and export data directly into tax preparation software.
Overview
The Tax Center consolidates everything you need for tax season into a single workspace. It includes four tabs:
- Dashboard — Annual financial summary at a glance
- Readiness Check — Automated verification that your books are ready
- Tax Categories — Map accounts to IRS Schedule C lines
- Generate Package — Export PDF, CSV, or TXF files
Tax Dashboard
The Dashboard tab shows a high-level snapshot of your financial year: gross revenue, total deductions, net income, total assets, total liabilities, and transaction count. Use the year selector at the top to switch between tax years.
Readiness Checks
Before generating your tax package, run the automated readiness checks. Six tests confirm your data is in order:
- Transactions Recorded — At least one transaction exists for the selected year
- Books Balanced — Debits and credits are equal across all accounts
- No Draft Transactions — All journal entries are posted
- 1099 Vendors Have TINs — Vendors flagged for 1099 reporting have a Tax ID on file
- Fiscal Year Closed — Year-end close has been completed
- Company Info Complete — Business name, address, and EIN are filled in
Schedule C Tax Line Mapping
The Tax Categories tab lists all income and expense accounts alongside a dropdown for assigning IRS Schedule C lines.
Assigning Tax Lines
- Go to the Tax Categories tab
- Each row shows the account name, year-to-date total, and a mapping dropdown
- Select the appropriate Schedule C line from the dropdown (e.g., Line 18 for Office Expense)
- The mapping saves instantly — no save button needed
- Mappings persist across tax years. Set them once and they carry forward.

Generating a Tax Package
The Generate Package tab lets you choose which reports to include and pick an output format.
- Open Generate Package
- Check the reports you want (Income Statement, Balance Sheet, Trial Balance, etc.)
- Select PDF or CSV format
- Click Generate Tax Package
- A progress bar tracks each report being compiled
- The file downloads automatically when complete
Sending It to Your Accountant
Instead of downloading the package and attaching it to an email yourself, you can send it to your accountant from inside BizBooks Pro. They receive a private link rather than a file, which means the documents expire after 30 days and you can withdraw them at any time.
How to send it
- Tick the reports you want, exactly as you would for a download
- Click 📤 Send to my accountant
- Enter their name and email address, and add a note if you want to
- Click Preview the email
- Read the message. Reword the subject line if you like
- Click Send it
The next time you do this, the accountant's details are already filled in from your last send.
What your accountant receives
An email containing your note, the list of reports included, and a button that opens the documents on a secure page. They do not need an account, a licence, or a password to read what you sent them — they click the link and download the files.
Inviting them into your books
Ticking Also invite them to connect to my books adds a short code to the same email. Your accountant installs BizBooks Pro, opens Accountant Access, enters the code, and can then work in your books directly rather than asking you for exports.
This switches on relay access so they can connect without setting up a VPN, which means your books are reached through the BizBooks relay service while it is enabled. You can turn it off again in ⚙️ Company Settings, and you can disconnect any accountant at any time.
Tracking and withdrawing a send
The Sent to accountants panel on the same tab lists everything you have sent, whether it has been opened, and whether the documents were downloaded. Withdraw link deletes the documents immediately and stops the link working. Anything your accountant already downloaded stays with them — withdrawing prevents further access, it does not reach into their computer.

TXF Export — Import into Tax Software
BizBooks Pro can export a .TXF (Tax Exchange Format) file that you import directly into TurboTax, H&R Block, TaxAct, or any software that supports TXF.
What Is TXF?
TXF is a standardized text format for transferring tax data between accounting programs and tax preparation software. Each record in the file includes a reference code that identifies the exact IRS form and line number where the amount belongs.
Exporting a TXF File
- Navigate to the Tax Center and open the Generate Package tab
- Scroll to the TXF Export section (below the PDF/CSV format options)
- Click Export TXF File
- The .txf file downloads with your company name and tax year in the filename
- Open your tax software and use its import feature to load the file
- Review imported amounts against your books to confirm accuracy
Before You Export
- Assign Schedule C tax lines to your accounts in the Tax Categories tab first
- Only accounts with a tax line mapping and non-zero activity are included in the file
- Accounts without mappings are skipped — BizBooks Pro tells you how many were left out

Tips & Best Practices
Before Tax Season
- Run readiness checks in January for the prior year — catch issues early
- Complete Schedule C mappings once and they carry forward permanently
- Resolve any "Fail" items before generating your final tax package
- Close the fiscal year before producing the final export
Working with Your Accountant
- Send the PDF package for the most professional presentation
- Provide the CSV export if your accountant needs raw data in spreadsheet form
- Use the TXF export if you file your own taxes with TurboTax or similar software
- Review your tax dashboard figures before sharing — you know your business best
Troubleshooting
"This package is too large to send." The send limit is 6 MB. General Ledger Detail is almost always the reason a package exceeds it — untick it and send the rest, or download the full package and share it another way.
Your accountant says the link does not work. Check the Sent to accountants panel. If it shows Expired or Withdrawn, send a fresh package — links cannot be reactivated.
TXF file shows 0 records?
- Verify your accounts have Schedule C tax line mappings in the Tax Categories tab
- Confirm you have transactions recorded for the selected tax year
- Check that mapped accounts have non-zero balances
Package shows $0 amounts?
- Make sure transactions exist for the selected tax year
- Verify you are viewing the correct company
- Confirm transactions are posted, not in draft status
Readiness check shows "Books not balanced"?
- Open the Trial Balance report to find the discrepancy
- Create an adjusting journal entry to correct the imbalance
Tax line mappings not saving?
- Confirm you are logged in with Admin or Accountant permissions
- Try refreshing the page and re-selecting the mapping
