Saved Reports & Date Presets
Build a report exactly how you need it once, save it, and re-run it with one click. Pair it with rolling date presets and your weekly review comes up current every time.
What gets saved
A saved report locks in every choice you made when running it:
- Date range (specific dates or a rolling preset)
- Filters: dimensions (Class, Location, custom dims, Sales Rep), accounts
- Comparison columns: prior period, prior year, budget
- Cash vs accrual basis
- Drill-down and grouping settings
Open the saved report later and BizBooks Pro replays all of it. No more reconfiguring the same parameters every Monday morning.
Saving a Report
- Open any standard report or the Custom Report Builder
- Configure every parameter the way you want
- Click 💾 Memorize in the report toolbar
- Enter a name, optional description, and pick a folder
- Choose Private (just you) or Shared (whole company)
- Hit Save
Saved reports collect under Reports → Memorized Reports.
Rolling Date Ranges
If you save a report with fixed dates, it's frozen in time. Use a date preset instead and BizBooks Pro recalculates the range every time you open it:
| Preset | How it resolves at run time |
|---|---|
| Today | Just today |
| This Week | Monday → today |
| This Month / MTD | First of current month → today |
| This Quarter / QTD | Start of current quarter → today |
| This Year / YTD | Start of fiscal year → today |
| Last Month | Whole prior month |
| Last Quarter | Whole prior quarter |
| Last Year | Whole prior fiscal year |
| Last 30 / 60 / 90 Days | Rolling window ending today |
Folders & Organization
Stack related reports into folders to keep the list manageable. Common ways to organize:
- By how often you run them — Daily / Weekly / Monthly / Quarterly
- By who you send them to — Owner pack, Bank reporting, Tax preparer, Board deck
- By department or function — Sales, Operations, Finance
Folders are created on the fly — type a new folder name in the folder field when saving and BizBooks Pro creates it for you.
Private & Shared
- Private — only the creator can see or run it. Good for drafts, scratch work, or sensitive views.
- Shared — anyone in the company can see it in the list. They can run it; the creator (or an Admin) is the only one who can rename or delete it.
Editing, Renaming, Deleting
From the saved-reports list:
- Click the name to open and run the report
- Click ✏️ to edit metadata (name, folder, private/shared)
- Click 🗑 to delete
To update the saved parameters themselves, open the report, change the filters or dates, click 💾 Memorize again, and choose Update existing.
Who Can Do What
- Anyone can save their own private reports
- Anyone can run shared reports they can see
- Only the creator or an Admin can edit or delete a shared report
- Admin / Manager can reorganize shared reports across folders
