Accrual Schedules for Prepaids, Deferrals & Accruals

Define a recurring adjusting entry once (an annual insurance premium, a year of prepaid service, a monthly rent accrual) and BizBooks Pro computes every period's amount and queues each entry as it falls due. Post the whole batch in one click.

The Month-End Entries Nobody Should Retype

Accrual-basis books depend on a handful of adjusting entries that repeat every period: release one twelfth of the prepaid insurance, recognise this month's slice of an annual contract, accrue the rent or the audit fee that will be paid later. They are simple, and they are exactly the entries that get missed in a busy close.

BizBooks Pro turns each of them into a schedule. You choose the type, the two accounts, the total, the number of periods, a frequency and a start date. BizBooks Pro divides the total, tracks how many periods have posted, and lists every entry that has come due so you can review and post them together.

1

Choose a Type

Prepaid expense, deferred revenue, accrued expense or accrued revenue.

2

Set the Terms

Accounts, total amount, number of periods, and a weekly, monthly, quarterly or annual frequency.

3

Review What's Due

The pending list shows each entry due as of today, with its date, amount, accounts and period number.

4

Post

Post one schedule or all due entries at once. Each becomes a dated adjusting entry.

๐Ÿ“ฆ Prepaid Expenses

Insurance, annual software licences and prepaid rent are carried as an asset and released to expense over the periods they cover.

  • Debit the expense account, credit the prepaid asset
  • Per-period amount shown as you enter the terms
  • Progress bar of periods posted against the total

๐Ÿ“ˆ Deferred Revenue

Cash received in advance for a year of service sits as a liability and is recognised evenly as the service is delivered.

๐Ÿงพ Accrued Expenses & Revenue

Record costs incurred and income earned before the invoice or payment arrives.

  • Accrued expense: debit the expense, credit the accrued liability
  • Accrued revenue: debit the accrued receivable, credit revenue

๐Ÿ” Controls Built In

Scheduled entries respect the same period controls as everything else in your books.

  • An entry dated on or before your lock date is held back, not posted
  • Every posting carries an ACCR- reference and appears in the schedule's history
  • Pause and resume any schedule

Burn, Runway and Subscription Metrics on the Dashboard

Alongside the accrual schedules, the BizBooks Pro dashboard reports the operating figures a founder or board asks for, calculated from your own books each time it loads:

๐Ÿ”ฅ Burn & Runway

  • Monthly burn: expenses posted over the last 30 days
  • Net burn: last-30-day revenue less those expenses
  • Runway: cash in bank accounts divided by net burn, in months

๐Ÿ”„ MRR, ARR & Churn

  • MRR from active customer subscriptions, normalised to a monthly amount
  • ARR as twelve times MRR
  • Churn rate from subscriptions cancelled in the last 30 days

Frequently Asked Questions

Do the entries post without me?

No, and deliberately so. BizBooks Pro calculates and queues each entry when it falls due; you post them, individually or all at once, after a glance at the pending list. Nothing lands in the ledger unreviewed.

What if I fall behind a few months?

Every overdue period stays in the pending list with its original date. Posting catches the schedule up in order, one dated entry per period.

Where do MRR and ARR come from?

From the active subscriptions you bill through recurring billing. Quarterly, annual and weekly plans are converted to a monthly equivalent.
