Tuition billing, ratios and year-end statements in one place

Bill the Whole Month in One Run

Every family invoiced at once, with sibling discounts applied and the agency's share split onto its own invoice โ€” and a guard that won't let the same month be billed twice. January's Form 2441 statements come from what families actually paid, not what you billed.

Built for how a center actually bills

๐Ÿงพ The monthly tuition run

One invoice per family, generated in a single run, with any pending charges from the month swept in. Run it twice by accident and the duplicate guard stops it.

๐Ÿ‘ง Sibling discounts, properly posted

The discount lands in its own contra account instead of quietly reducing tuition income, so you can see what discounting actually costs across the year.

๐Ÿ›๏ธ Subsidies split out

The agency's portion goes onto a separate invoice addressed to the agency, and the family is billed only their share โ€” so chasing a late subsidy never looks like a family in arrears.

๐Ÿ“„ Form 2441 statements

Year-end childcare statements computed from payments received, with your EIN, ready to hand parents for their tax return.

The Nonprofit plan

Most centers are nonprofits or sit inside one, so the Preschool & Childcare Edition ships with our Nonprofit plan โ€” tuition billing and fund accounting together, rather than two products to reconcile.

Questions centers ask

Does this replace our childcare management app?

Only the money half. Tuition, subsidies, statements and the books live here; check-in, ratios on the floor, parent messaging, photos and waitlists stay in your app. Billing was usually the part being done twice.

Do you support weekly billing or prorated tuition?

Not yet, and it matters enough that we'd rather say so before you move. Today the tuition run is monthly, and a mid-month start or withdrawal is handled as an adjustment rather than calculated for you. Weekly cycles and automatic proration are both on this edition's roadmap โ€” if either is how you bill, tell us and it moves up.

How are classroom ratios handled?

As reporting โ€” capacity and ratio by classroom from your enrollment, so you can see where you're at or over. Live attendance-based ratio tracking on the floor stays in your check-in app.

We're a for-profit center. Does the nonprofit plan still fit?

Yes. The plan is where this edition lives; the fund accounting simply goes unused if you don't need it, and everything else โ€” tuition, subsidies, statements, full accounting โ€” works the same. If that feels like paying for something you won't use, say so and we'll talk about the right band.

Can our bookkeeper or CPA get in?

Yes. Advisor connections are included and don't use your seat.

What happens to our existing books?

Import them. Bring your chart of accounts, families and history across from QuickBooks or a CSV, and we'll help set up classrooms, tuition rates and subsidy arrangements so balances tie out โ€” that's part of getting started, not a separate engagement.
