Every family gets one invoice with each child's tuition, the sibling discount already applied, and last month's late-pickup fees included. Subsidy portions go to the agency on their own invoice. In January, parents get the statement they need for their taxes.
Free 30-Day TrialForty families, each with a different combination of days, siblings and discounts. Someone spends the last weekend of the month copying last month's invoices and editing them, and a family or two always gets billed wrong.
The state pays part of the tuition for some children. Most schools invoice the family for everything and then apply the agency's check wherever it fits, so no report ever shows what the family really owes versus what the agency owes.
Every enrolled child, their plan, and any pending fees are gathered for you.
See each family's invoice line by line before anything is created.
Invoices post to your books, ready to email from the Invoice Center.

The run remembers which families and agencies were already billed for that month. Re-run it after a new child enrolls mid-month and only the missing invoices are created โ nobody gets billed twice.
Monthly plans per child, or a custom rate for the family with the unusual arrangement. The sibling discount comes off automatically for every child after the highest tuition, and posts to its own discount account so you can see what discounting costs you.
Set the agency and the monthly amount on the child. Each run takes the subsidy off the family's invoice and puts it on one consolidated invoice to the agency, posted to its own income account.
Record a late pickup with the minutes and the fee computes from your grace period and per-minute rate. Registration fees, field trips and supply fees work the same way โ they wait for the next run and land on the right family's invoice.
Each room carries its licensed capacity and your state's child-to-staff ratio. The overview shows enrollment against capacity, flags any room that's over capacity or short-staffed, and keeps a waitlist you can enroll from in one click.
In January, every family gets a statement showing what they actually paid during the year, with your name, address, EIN and license number โ what they need for IRS Form 2441 and dependent-care FSA claims.
Families are regular customers, so everything else in BizBooks Pro applies: email invoices with an online payment link, accept card or ACH, send statements and automatic reminders, and reconcile the bank as usual.
It's the accounting half. Tuition billing, subsidies, fees, family balances and year-end tax statements live here, alongside your real books. Daily attendance, ratios at the door, parent messaging and curriculum stay in whatever classroom app you use.
The child with the highest tuition pays full price; every other child in that family gets your discount percentage off. You set the percentage once in Settings, and it posts to a Tuition Discounts account so the full tuition and the discount are both visible on the income statement.
Yes. Run both editions in the same company file, or keep the school in its own company if it files separately. See the Church Edition for offerings, funds and giving statements.
Plans are monthly today, and a child can carry a custom rate. Weekly and bi-weekly billing cycles are on this edition's roadmap โ tell us how you bill and it moves up the list.
Not yet โ a child enrolled during the month is billed the full month, which matches how most schools charge. Proration is a planned option. For now, a custom rate on that child for the first month does the job.
